Everything you need to get started with SynHR: time tracking, leave, Crésus payroll export, Swiss compliance and FAQ.

Quick start

Prerequisites: an active SynHR account (active account on synhr.ch), admin access to app.synhr.ch, and your accountant's contact details (for payroll export).

Create your company: sign in, enter legal name, UID, canton, address. Set your email convention (e.g. first.last@company.ch) and the public holidays of your canton · SynHR pre-fills cantonal holidays automatically.

Add employees & departments: import your team via CSV or add manually. Each employee gets a role (Worker, Manager, HR, Leadership). Create your departments (Production, HR, Office…) and assign employees. First time entry: the employee signs in, starts a timer from the mobile or web app, picks a site/project if enabled, validates. The time is recorded and visible to their manager.

Time tracking

Mobile entry: the responsive web app works on smartphones (iOS/Android) with no install. Employees start the timer in one tap, add a break, finish the day. Optional geolocation (per site) to make field entries reliable.

Site/project mode: when enabled, the employee must pick a site (or a client) before starting the timer. Time is then booked against the right job, ready for client billing and profitability analysis. Sites are created by managers or HR.

Machine module (forestry): dedicated option for forestry and construction firms, the employee picks the machine used (harvester, forwarder, chipper…) to track machine hours and usage cost. Manager validation: managers see end-of-week hours, can correct an erroneous entry and validate to close the period. Overtime: SynHR automatically detects overtime against the employee contract and the applicable CCT, and flags it in reports.

Leave & absences

Leave requests: the employee creates a request from the app (vacation, exceptional paid leave, RTT, etc.), picks the start/end dates, adds an optional comment. The request goes to the manager for validation automatically.

Validation workflow: the manager gets an email notification, accepts or rejects with a reason. If accepted, the leave is added to the calendar and the employee's balance is debited. HR can override a decision if necessary. Everything is traced in the audit log.

Balances: SynHR computes balances per leave type in real time (accrued vacation, used vacation, RTT, recovered public holidays). Absence types: vacation, sickness (with medical certificate upload), maternity/paternity, accident, unpaid leave, training, moving day. Swiss public holidays: SynHR knows federal + cantonal holidays (VD, GE, FR, VS, NE, JU, BE, ZH, etc.) and pre-fills them based on the employee's canton.

Crésus payroll export

Step-by-step guide: at month-end, HR opens Payroll → Crésus export, picks the period (previous month by default), checks the validated hours, clicks Generate export. A CSV file downloads immediately.

Technical format: CSV in UTF-8 with BOM (Crésus Salaires compatible), semicolon separator, dot decimal. Exported fields: employee ID, first name, last name, AVS number, period, regular hours, overtime, vacation days used, sick days, miscellaneous absences, possible bonuses.

Sending to the accountant: HR sends the CSV to the accountant (encrypted email or secure portal). The accountant imports it into Crésus Salaires, runs payroll, returns payslips. Cadence: monthly (ideally generated between the 25th and 28th to let the accountant pay by month-end). 13th salary and annual bonuses can be exported separately.

Swiss compliance

Social contributions: SynHR knows the Swiss legal rates · AHV/IV/EO (5.3 % employer + 5.3 % employee in 2026), unemployment, LAA (accidents), and computes gross → net. LPP (2nd pillar): SynHR does not run LPP directly (the pension fund does), but exports the data the fund needs (annual AVS salary, occupation rate).

FADP · HR data: HR data is sensitive personal data. SynHR applies AES-256 at rest, TLS-only in transit, immutable audit log on every read and write. Records of processing + DPA on request. Salary certificates: SynHR exports what the accountant needs to produce the annual salary certificate (official Swiss form to file with the tax authority).

CCT: SynHR supports the main collective agreements (CCT metallurgy, CCT construction, CCT staffing…). Overtime, RTT and holiday rules are configurable per CCT. Remote work: 2026 Swiss recommendation, max 3 days/week of remote work to preserve the employee's social security coverage (above that, the employer must contribute in the country of residence). SynHR tracks remote vs on-site days.
